5.0 introduction

CoMa`s voice-mail-system increases the answering machines' essential 
functions. It is now possible to define 99 second-level-messages 
instead of just 7. Every answer can be assembled by up to 99 
voice-files. This applies as well to the First Level messages.

This makes it possible to apply it to advertisements or 
interactive games. By combining the message from various voice files 
it is possible to change certain parts of the message without having 
to record the whole message again.

You are also able to create folders with fax data for First- and 
Second-Level Messages which are easy to be accessed by the caller. A 
message can be created in this folder which will be played to the 
caller first. This can be a Help-message to explain how the caller 
should proceed.

In short CoMa professional makes it easier to work with long messages 
in the voice-part and provides a fax-on-demand system. Chapter 6 
describes the extensions for the mini-mailbox.

5.1 Folder structure of Second-Level-Messages

The principal of up to 99 messages is as follows: Messages 
(voice-data) have to be located in a folder, the title of which is the 
equivalent to a PIN with which the caller can access this file 
(message).

All message files have to be located in the folder MESS_OUT. The path 
for this folder has to be adjusted in "Parameter Voice".

In prinicpal you can use any number as file a name. A message file can 
only be called up with one number therefore, but you have to make sure 
that no other file starts with this number. coMa would start 
immediately to play the messages after a file is identified.

This applies as well for the PIN  which is not allowed to coincide with 
another file name. CoMa would otherwise continue to wait for the PIN 
and stop to search for a file.

i.e. PIN 8123. File name 81! The file will not be played because CoMa 
has recognised the beginning of the PIN and is waiting for the last 
numbers.

You will continue to have the possibility to make Second-Level-Messages
via the 7 slots of the dialog box "Messages" in "Parameter-Messages".
You can also use a file with Voice-Date here. The example in chapter 
5.2 shows that you can chose to offer the recorded voice-data in a file 
with a numerical title, or with a name and a PIN as Second Level 
Message!

5.2 Structure of messages in the files

All messages in the CoMa voice version had to be located as complete 
data in the folder MESS_OUT. This was always difficult if one had long 
messages and the whole text had to be recorded again if mistakes were 
made. It was not possible to even change small parts of the text. If 
one only wanted to change the price in a message it was necessary to 
create a completely new Voice-Data. We have solved this problem by 
assembling the message in CoMa professional from various voice-data. 
The caller will not notice the "Assembly" in a normal fast Harddisc.
You are able to store 99 messages in a Second-Level message with file 
structure.  The order of the playback will be determined by the name 
of the file. The last 2 signs of the name have to be numbers. The 
extension remains to be identicated by the recording standards.

The next example shows  quickly how such a file with message fragments 
has to look like. We want to create a voice-file which gives our 
callers prices of our products. To keep the input small the file has 
to be called up with key 2. This means of course that no further files 
with a 2 in the beginning can be in MESS_OUT!

Being a polite and friendly dealer we would like to start with a 
friendly introduction. We therefore rec ord the following text:
"Hello, this is the actual price list of Softbear"
We will call this file 01INTR.R04 (R04 is for Rockwell, ADCPM4). The 
01 in the file name tells CoMa that this message should be played 
first.

In another text we want to tell the caller the validity of the prices 
(very important for special offers)

"These prices are valid till..."

The suitable name for this would be 02VALI.R04

AFTER THIS WE HAVE TO RECORD THE DATE AS VOICE-FILE

"24. DECEMBER 1994"

THE NAME WOULD THEN BE FOR INSTANCE 03DATE.R04.

In a further voice-file we would only have the description odf our 
office software...

FIRST-MILLION magnum, the ultimate office software...

This file could be calles 04MAGNUM.R04. The price will have its own 
file in order to be able to change the message easily in case of a price 
change.

If you then want to change the date of the validity of the price list 
you only have to change file 03DATE.R04.

It is sufficient to record the relevant price message should the price 
of a product change. The application of the voice-mail-system is easy 
and comfortable.

Here you see the example of the construction of our mesage file for 
products and prices. The file with the extension (Endung) XCNT 
indicates how often this file has been accessed. If you delete dthis 
file the count starts again with 1.

5.3 faxmailing

So far it was only possible for third parties to poll faxes if you 
were in possession of a modem which supported the polling function. 
Unfortunately only a few modem support this function at the present 
time. This was our reason to include a function whicxh enabled the 
call up of fax pages from a file.

In order to achieve this two conditions apply:

The caller must be able to send DTMF sounds. (This applies as well for 
the call up of voice files).

The fax machine has to be able to switch to the telephone line.

The last condition always complies if the telephone line is connected 
to a combifax (TAM). These appliances can always be switched from 
telephone to faxreception via touch of a button.  This is also 
possible with some other fax appliances by touching the start button.  
In this case a telephone has to be plucked into a F-coded socket, the 
fax into the N-coded side.

Fax pages have to be located in a file with a numerical title and as 
well as the voice-file recorded in the folder MESS-OUT.

As a special feature it is possible that the fax file contains a 
voice-data which for example advises about the application of this 
function. Voice-file will always be played first, CoMa switches then 
into send modul for fax.

A possible text might be:

"Please set your fax for reception. If you hear the send tone of a fax 
  in your telephone please press the start button on your fax 
  machine."
